ARMA Edmonton Chapter: Roles & Responsibilities

President

Term of Office: 2 year term (July 1 to June 30)

The President is responsible for:

  • Preside at all meetings of the Chapter Board of Directors and the members.
§ Appoint the chairmen of all standing committees with the approval of the Board of Directors.
§ Be an ex-officio member of all committees except the nominating committee.
§ Develop a plan outlining the Chapter's short range goals and objectives for approval by the
     Chapter Board of Directors and a budget for the office of the President.
§  Be responsible for the enforcement of the Chapter Bylaws and all policies emanating from
      the Chapter Board of Directors.
§  Initiate action leading to the removal of any officer who fails to perform their assigned duties.
§ Removal of an officer shall require a majority vote of the remaining Chapter Board of Directors.
§ Initiate action to replace officers who have resigned or have been removed from office
§ Replacement of an officer shall require a majority vote of the remaining Chapter
     Board of Directors.
§ Keep the Chapter Board of Directors and Chapter members fully informed of activities of the
    ARMA International, Canadian Region and the Edmonton Chapter.
§ Represent the Edmonton Chapter at the Annual ARMA International Chapter Presidents'
     Meeting and Canadian Region Chapter Presidents' Meeting
§ Should the President be unable to attend any Chapter Presidents' Meeting, he/she shall
     recommend a representative. The representative shall be 
     approved by the Chapter Board of Directors and have full voting power
 

Past President

Past President
Term of Office: - 1 year (July 1 to June 30)
 
The Past President shall assist the President in the running of the Chapter:
§ Advise on executive matters related to policies, decisions, procedures, long
range goals and directions so as to ensure continuity from one year to the next.
§ Establish and chair the Awards Committee
§ Commitment to attend as many monthly chapter functions as possible
§ Other assigned duties
 

President Elect

Term of office: 2 year term (July 1 to June 30). Followed by an Additional 2 year term as President.   To take the role as President Elect you must have served as a Board member for 1 year.

The President Elect shall: 

§ Assist the President in the maintenance of the Chapter.
§ Perform the duties of President in the absence of that officer and in the case of permanent disability or resignation of that officer, shall succeed to that office for the unexpired portion of the term.
§ If chapter sponsored local multi-day seminar or conference being held, chair Seminar/Conference Committee.
§ Other assigned duties.

Director of Student Services

 Term of office: 1 year term (July 1 to June 30)

 Director of Student Services  is responsible for: 

·         Liaison between all l RIM education programs and institutions, managers and administrators

·         Create and administer a practicum  registry and assist in the placement of practicum students for the local RIM community

·         Assist the Program and Learning Director in including student participation in various Chapter events

·         Propose and administer all scholarships or other student prizes on an equitable basis

·         Represent the Chapter at all speaking engagements requested by RIM education institutions

·         Receive and respond to all students requests for information, support, or contributions (in cash or kind) to RIM educational programs

·         Devise and execute recruitment plans to encourage the induction of graduates into full ARMA membership

 

Membership Director

The Director of Membership is responsible to monitor the growth or decline of the membership; to liaison with the Association headquarters in the processing of membership applications; to work with the Director of Marketing to pursue opportunities to retain and/or to increase membership; to monitor years of service (length/years of membership) and identify those individuals to the Award Committee and perform any other tasks related to this position.

Term of Office: - 1 year (July to June)

Time Commitment:

§ Monthly Board Meetings held every Monday of the month (2.5 hours per meeting)
§ Monitor membership listing and send out membership renewal reminders monthly (on average approximately 30 minutes per month)
§ List sessions registration information and forward to Treasurer and Director of Education/Program (1.5 hours per month)
§ Send out notices to membership (1 hour per month)
§ Commitment to attend as many monthly chapter functions as possible

  

Newsletter Director

The Newsletter Editor is responsible to solicit articles from membership, make arrangements for production and distribution of the Newsletter and perform any other related tasks to this position.

Term of Office: - 1 year (July 2007 to June 2008)

 

 

Time Commitment:

§  Monthly Board Meetings held every third Monday of the month (2.5 hours per meeting)

§  Collect articles from other Board members (1 hour per month)

§  Research and write articles that compliment monthly education

§  program/calendar (4 hours per month)

§  Solicit input from other sources such as consultants, vendors, members, etc.( (on average approximately 1.5 hours per month)

§  Compile newsletter based on template and style guide (2 hours per month)

 

Program & Learning Director

The Director of Education/Program is responsible to develop and implement diversified educational programs for the Chapter Membership and other organizations who have similiar/common interests such as BFMA, CIPS, etc. This may include some liaison with post secondary education facilities such as NAIT and Grant MacEwan, etc. This position is also responsible to plan and coordinate the monthly Chapter luncheons and perform any other tasks related to this position.

Term of Office: - 1 year (July to June)

Time Commitment:

§ Monthly Board Meetings held every Monday of the month (2.5 hours per meeting)
§ Review payables for education sessions (on average approximately 30 minutes per month)
§ Planning chapter training and development calendar/program (on average approximately 10 hours for the year)
§ Liaise with hotel staff to organize monthly events (1 hour per month except for July   and August)
§ Commitment to attend as many monthly chapter functions as possible
 

Treasurer

The Treasurer is the custodian of all funds and securities, signs all the Chapter's cheques, receives all memberships dues and other payments to which the Chapter is entitled, deposits all funds into depositories approved by the Board of Directors. Also provides Chapter financial statements at the close of each accounting year and at the end of each Board of Directors' meetings and performs other related tasks as required of this position.

Term of Office: -1 year (July to June)

Time Commitment:

§ Monthly Board Meetings held every Monday of the month (2.5 hours per meeting)
§ Process receivables (on average approximately 1 hour per month)
§ Process payables (on average approximately 1 hour per month)
§ Maintain financial records (on average approximately 1 hour per week)
§ Commitment to attend as many monthly chapter functions as possible

Webmaster

Webmaster
Term of Office:  1 year (July 1 to June 30)

The Webmaster maintains the ARMA Edmonton Chapter website at http://www.armaedmonton.com with guidance from the ARMA Edmonton Chapter Board of Directors:

  • post information as provided by board members to ensure content is up to date(2.5 hours per month)
  • works with the Board to reflect issues and events important to ARMA Edmonton Chapter members
  • makes a decision with the ARMA Edmonton Chapter when a new format is necessary, and works with the board to create new design or changes to site
  • attends at least 3 board meetings
  • notify Membership Director of new information that has been posted for distribution to members (i.e. job postings, program etc.)
